Bilby 16.x adds performance improvements and structural changes to tagging for easier activity tags and reporting. Also included are improvements to activity type configurations to make creating activities even easier!

Features
Activity calendar mode
- We’ve introduced a new way to browse activities with calendar mode.
- Activities can now be viewed in a monthly calendar format that works alongside our quick table mode and extended information mode.
- A new toggle button at the top of any public activities page lets you switch between browsing modes.
Activity improved actions
- Added mobile-friendly activity actions, allowing you to change status, clone an activity, or change ownership directly from the title bar.
- Mobile users will now see clearer and more accessible action buttons on each activity admin page.
- Each page now highlights its primary action. For example, the admin timeline lets you quickly post a note, while the participants page lets you quickly add a participant.
Booking interface improvements
- Added interface improvements to the participants list and booking layouts.
- Participant information is clearer with improved badges and mobile-friendly layouts.
- Booking details have also been refreshed to make key information easier to see.
General Updates
- Added support for licensing renewal information around expiry periods.
- Cleaned up confusing labels on user type configuration screens (Super Admin only).
16.2.2 [2025-11-09]
Partner onboarding continues to be a major focus in the next few versions of Bilby. These updates are designed to make it easier to demo and onboard new partner sites with minimal effort.
Features
Partner onboarding structure
- Introduced a new structure that allows internal staff to configure partner sites with one click.
- Added support for creating templates tailored to different partner types, including running, sports, and bushwalking clubs.
Digital membership card
- Members now have access to a digital membership card displaying key membership information.
- Current financial members are clearly marked with an “Active Member” label.
- Non-members (e.g. Guests, Expired, or Deactivated users) are clearly marked as “Not a Member.”
Officer dashboard updates
- Activity-related communication has been moved to the Activity Officer dashboard.
- The Member Officer dashboard now only displays communications related to user accounts.
- Improved the dashboard selector dropdown and ensured visibility for Super Admins.
General Updates
- Updated the Super Admin checklist page to correctly display configured fields.
- Updated the dashboard label “Membership Renewed” to “Membership Paid.”
- Renamed “Partner Details” to “Details” on all member forms where partner fields are configured.
- Increased the site settings description limit to 500 characters, allowing partners to add more detailed information on sign-in pages, registration forms, and more.
System Updates
- Upgraded icon packages to the latest version.
Bug Fixes
- Fixed a rare issue where Guests could access certain activity services.
- Resolved an issue with reserved system usernames:
- Officers can now use reserved system usernames if valid.
- This removes the need to manually modify existing system usernames.

We’ve introduced easy-to-read dashboard reporting and end-of-month email notifications for officer users, along with several minor improvements and system upgrades.
Features
Enhanced Dashboard Reporting for Admin Officers
- Dashboards now feature clear call-to-actions to guide officers on next steps.
- Reports are broken down into monthly metrics such as total members, new accounts, expired members, completed activities, pending bookings, and more.
Monthly Email Reporting for Officers
- Officers can subscribe to receive a summary email on the last day of each month.
- The email provides a snapshot of your available dashboard statistics in an easy-to-read format.
- For example, if you hold both the Activity Officer and Member Officer roles, you’ll receive the widget data for both areas each month.
General Updates
- Removed the additional verification notification sent to officers if an account has already been verified in the past.

- Fixed a security-related issue affecting a specific button component.

This new release includes major improvements to the “new user” journey. We’ve also included controls to prompt any user to complete certain sections of their profile. This will help member officers guide specific users to complete their account.

- Added disclaimer section on activity configurations (terms & risk acknowledgement)
- This builds on an upcoming feature to automatically record terms acceptance
- Added feature to control onboarding steps for new users
- Member officers can set flags to prompt any user to complete parts of their profile
- When set, a user is forwarded to that onboarding step on login
- This also extends to accepting terms of attending activities
- Major improvements to managing user records within an account
- The user form is all on one page with a clearer presentation
- Added easy-to-access edit buttons for tags, types and other fields

This update includes some partner requested features! We’ve added multiple columns on the “quick search” input for easier admin reporting. Also included in this release are improvements to the message board notification rules designed for more predicable messaging.

- Messages are more consistent with some small rules applied
- Activity owners are always notified when any messages are posted with a tiny delay
- @username tagging will instantly notify the tagged participant
- @everyone tagging sends the notification request to a queue
- Queued requests are evaluated for spam protection

- Fixed issue with “Save” button not highlighting after changes in certain data

Features
- Added special date filtering on officer reporting pages
- Officers can filter date fields with year/month filters to search records
- For example, selecting bookings created in 2024 will return all bookings for that year
- These filters can also be added to bookmarks
- Updated logic when adding a question to a public activity
- We no longer create a booking that is marked as “interested”
- Questions will generate a “notification” message and post it to the admin timeline
- The activity owner will be notified immediately, and the sender will receive a confirmation
- There are also controls for the activity owner to email the user directly from the message
- Email and Name is automatically shared with the Activity Owner when sending a question

- Added pagination on reporting pages at the bottom of the list for quick navigation
